The OSCE Special Monitoring Mission to Ukraine is looking for highly qualified, motivated and experienced Ukrainian professionals for the position of Warehouse Clerk with its main Office in Kyiv. The OSCE is committed to achieving a better balance of women and men within the Organization.

Tasks and Responsibilities    
     
   

The Warehouse Clerk works under the direct supervision of the National Assets Management Officer. Daily tasks include the issuing and receiving of assets and inventory items, managing warehouses and keeping safe all Mission equipment and materials placed for storage. Responsible for proper and secure way of arranging storage space and goods allocation as well as keeping, labelling, tagging, packing and tracking:

 

  1. Distributing office supplies and equipment including IT, communication equipment and furniture on a daily basis for Mission Head Office and the Regional Centers as per the plans developed by Asset Assistants;
  2. Performing stock checking on HQ office supplies, stationery, other goods and materials requiring replenishment and submits the lists for monthly order;
  3. Organizing and keeping new storage spaces in workable, clean and safe condition in order to have fast access and logically arranged storage spaces Receiving, moving, checking and placing incoming into stores goods and materials delivered to Head Office including but not limited by office supplies, furniture, IT/Comms equipment, printed/copied materials, etc. ;
  4. Checking and inspecting goods received and ensuring they are of accurate quantity, type, and also acceptable quality. Reporting delivery of deficient, incomplete or damaged goods;
  5. Labelling and barcoding goods that have arrived at the warehouse and Packs goods and labels packages before shipments/dispatch;
  6. Selecting space for storage and arranges for goods to be placed in the designated areas;
  7. Ensuring that all inventory processes are completed on the same day;
  8. Loading and unloading lorries, vans and other vehicles;
  9. Maintaining, operating and servicing warehouse tool, machinery and trucks;
  10. Contacting transport companies and coordinating dispatch and delivery with them;
  11. Preparing deliveries for the couriers;
  12. Assisting to SMM-Transport department in the field of spare parts and equipment for AV and SUV vehicles;
  13. Assisting with management of broken IT and household appliances and equipment (collect,tracking, deliver to repair shop);
  14. Assisting to SMM-Facilities to deliver furniture, fire extinguishers, IT equipment and solve some technical tasks;
  15. Assisting SMM-Training Team to conduct HEAT training course;
  16. Assisting SMM-IT to purchase spare parts for IT devices to have them in full set (spare SD cards, chargers and other necessary parts);
  17. Signing off and replenishes stock;
  18. Recording daily in IRMA system / Inventory module all movements of items in or out of store;
  19. Maintaining accurate records of material received and handover of material and equipment as part of the overall inventory tracking system to include the handover documentation in the IRMA system;
  20. Performing bar-code scanning on Annual Physical Inventory verification;
  21. Performing other duties as assigned.
     
Necessary Qualifications    
     
   
  • Ukrainian citizenship or holding permanent resident status in Ukraine;
  • Completed secondary education required;
  • Minimum 2 years of relevant work experience in storing and shelving; in a storage area/facility;
  • Computer literate with practical experience with Microsoft applications and ERP;
  • Good written and oral working knowledge of the English, Russian and Ukrainian;
  • Category B driving license, category C driving license is desirable;
  • Have excellent numeracy, literacy and organizational skills;
  • Physically fit and able to lift and move heavy packages and objects;
  • Ability to follow processes and procedures accurately;
  • Minimizing stock loss;
  • Meeting tight deadlines;
  • Willing to work overtime and short notice;
  • Good communication and interpersonal skills to ensure a good relationship with other staff members;
  • Ability to adjust to a broad range of new tasks in a complex administrational environment;
  • Demonstrated ability and willingness to work as a member of a team, with people of different cultural and religious backgrounds, different gender, and diverse political views, while maintaining impartiality and objectivity;
  • Demonstrated gender awareness and sensitivity, as well as the ability to integrate a gender perspective into tasks and activities;
  • Flexibility and ability to work under pressure and with limited time frames.

Remuneration Package    
     
    Monthly remuneration, subject to social security deductions is 739 Euro/month. Social benefits will include participation in the Cigna health insurance scheme and the OSCE Provident Fund. Appointments are normally made at step 1 of the applicable OSCE salary scale.
