Tasks and Responsibilities | ||
Under the direct supervision of the National Asset Management Officer and general guidance of the Chief of General Services, Supply Assistant:
1. Monitoring the type of goods/equipment needed by different locations of SMM, organizing transport and delivery, ensuring stock replenishment. Acting as focal point for all aspects of customs clearances procedures; 2. Raising Purchase Requisitions (PRs) in the system for the Mission needs and performing preliminary market research to determine technical specifications and budgets for the requests; Preparing periodical summary reports on the delivery and consumption of the supplies and forwarding them to the supervisor for further analysis; 3. Receiving and dispatching the assets and supplies and recording the transactions in Oracle; Arranging customs clearance and transportation of imported/exported goods/supplies: preparing required documentation (letters, permissions, power of attorneys, etc.); Together with Procurement and/or other staff concerned, inspecting the received goods for consistency of the delivery terms. The same applies to export operations; 4. Arranging the delivery/transportation of the supplies and services to HQ and duty stations. Insurance of the assets/materials and solving the shortage cases with Transportation Service Providers. 5. Distributing the assets and supplies against duly approved requests and making records of the distributions; 6. Receiving, inspecting and verifying incoming bills/invoices for the supplies/goods/services for the General Services needs and gives clearance to Finance on payments due; 7. Serving as focal point in Supply, together with National Asset Management Officer and Chief of General Services, processing of supply requests for Field Offices, implementation of proper Supply chain for the Mission; 8. Performing other duties as required. May be called to drive official vehicles. |

Necessary Qualifications | ||
• Ukrainian citizenship or holding permanent resident status in Ukraine; • Completed secondary education supplemented by training in Logistics, Freight-forwarding, Procurement, Supply Chain Management; • Minimum 4 years of experience in Logistics, Supply Chain Management, freight-forwarding or related field; • Holding a valid driving license; • Computer literate with practical experience in Microsoft applications; • Professional fluency in the English, Ukrainian and Russian languages, both oral and written; • Ability to cope with physical hardship and willingness to work extra hours and in an environment with limited infrastructure, proven resilience to high stress environments; • Demonstrated ability and willingness to work as a member of a team, with people of different cultural and religious backgrounds, different gender, and diverse political views, while maintaining impartiality and objectivity; • Demonstrated gender awareness and sensitivity, as well as the ability to integrate a gender perspective into tasks and activities; • Cultural sensitivity and judgment. |

Remuneration Package | ||
Monthly remuneration, subject to social security deductions is 1029.00 Euro/month. Social benefits will include participation in the Cigna health insurance scheme and the OSCE Provident Fund. Appointments are normally made at step 1 of the applicable OSCE salary scale. | ||
