The OSCE Special Monitoring Mission to Ukraine is looking for highly qualified, motivated and experienced Ukrainian professionals for the position of Senior Supply Assistant with its Office in Kyiv. The OSCE is committed to achieving a better balance of women and men within the Organization.
Initial duration of appointment is for 12 months, subject to a subsequent OSCE Permanent Council Decision to extend the mandate of the Mission.

Tasks and Responsibilities | ||
Under the direct supervision of the National Asset Management Officer and general guidance of the Chief of General Services, Senior Supply Assistant: - Planning, monitoring and primarily preparing documents, contacts authorities, and suppliers for all the aspects of logistical needs of the Mission: acquisition, distribution and allocation of logistical resources, including providing Supply Chain Management solutions; - Arranging and coordinating deliveries and transportation of supplies to HQ. Arranging customs clearance of imported/exported goods/supplies: preparing required documentation (letters, permissions, power of attorneys, etc.) and solving raising issues/interfaces with the Customs and customs brokers; - Organizing domestic deliveries/distribution from HQ: communication with Requestors, warehouse personal, courier services/transportation companies, logistic base in Dnipro and final Receivers. Serving as primary focal point on insurance of assets/materials during transportation and solves shortage cases with contracted transport companies; - Raising Purchase Requisitions (PRs) in the system for the Mission needs; - Briefing, assisting, advising and controlling of warehouse operations in the fields as well as advises the Warehouse personnel with planning of the stocks; - Supporting and executing ad-hoc and planned inventories of materials and vehicle spare parts in the contracted workshops and field offices. Providing reports on warehouse operations and adherence of them to the existing procedures and requirements; - Together with Procurement and Programmatic staff negotiating, inspecting and preparing terms of deliveries of import/domestic shipments; - Communicating with Ukrainian authorities like Ukrainian MFA, Customs office, Police and Security Service of Ukraine in appropriated field of responsibility, solving raising issues concerning import/export deliveries; - Receiving, inspecting and verifying incoming bills/invoices for shipping services; - Calculating and ensuring timely replenishment of GS materials stocks; - Preparing periodical summary reports on deliveries and consumption of supplies and forward them to supervisor for further processing and analysis; Supporting reconciliation process of Annual Asset and ad-hoc inventories; - Other duties as assigned. |

Necessary Qualifications | ||
- Ukrainian citizenship or holding permanent resident status in Ukraine; - Completed secondary education supplemented by training in Logistics, Freight-forwarding, Procurement, Supply Chain Management, or consistent equivalent work experience in these fields; - Minimum 4 years of work experience in procurement, assets management, supply preferably in large organizations in an international set up; - Holding a valid driving license; - Professional fluency in English, Ukrainian and Russian languages, excellent written and oral communication skills in the mentioned languages; - Computer literate with practical experience in Microsoft Office applications; - Demonstrated ability and willingness to work as a member of a team, with people of different cultural and religious backgrounds, different gender, and diverse political views, while maintaining impartiality and objectivity; - Demonstrated gender awareness and sensitivity, as well as the ability to integrate a gender perspective into tasks and activities; - Cultural sensitivity and judgment. |

Remuneration Package | ||
Monthly remuneration, subject to social security deductions is 1176.00 Euro/month. Social benefits will include participation in the Cigna health insurance scheme. Appointments are normally made at step 1 of the applicable OSCE salary scale. | ||
