Tasks and Responsibilities    
     
   

The Office Assistant will work within the Human Rights and Communities Department, Field Support Section. Under the direct supervision of the Senior Democratization Officer and the overall supervision of the Director of the Regional Centre, the incumbent will be responsible for assisting governance project teams with programmatic, administrative and secretarial tasks.

  1. Administrative duties  Provides assistance in relation to administrative procedures related to specific project activities and other programmatic assignments;  Assists and supports the project teams by executing logistical and financial arrangements for projects, workshops, conferences, training and other programmatic assignments;  Arranges transport for team members or participants of team activities as requested; 
  2. Secretarial duties  Prepares conference material (e.g. invitations, hand-outs, name tags, presentations and sign-in sheet, etc.) as required for meetings, workshops, conferences, training, etc.  Maintains and updates contact lists, files, reports, correspondence and other material relevant to the work of the team;  Maintains an active filing system to support day-to-day projects administrative activities; assists in preparing final reports and follow-up documentation for implemented projects; -  Handles incoming and outgoing administrative correspondence and takes minutes of Section meetings; 
  3. Project related administrative duties  Assists the Field Support Section and the Governance Section with the implementation of specific projects and other programmatic assignments;  In cooperation with the staff of the Department of Administration and Support, assists the Field Support Section and the Governance Section in preparing proper project management documentation for procedures relating to Finance, Personnel, Supply, Procurement, and consults the OMiK Office of Legal Affairs when needed, in support of department project implementation;  Prepares and maintains Section’s project tracking data; 
  4. Translation/Interpretation  Translates and/or interprets from/into English/Serbian; 
  5. Performs other duties as assigned.
     
Necessary Qualifications    
     
   
  • Completed secondary education supplemented by formal studies in secretarial, office organization or languages.
  • At least three years of work experience in an office or in project management activities.
  • Some experience in translation and interpretation.
  • Computer literate with practical experience with Microsoft applications.
  • Excellent written and oral communication skills in English and in the local languages in official use.
  • Ability to work with people of different nationalities, religions and cultural backgrounds
  • Demonstrated gender awareness and sensitivity, and an ability to integrate a gender perspective into tasks and activities
     
Remuneration Package    
     
    Monthly remuneration, subject to social security deductions is 885.00 Euro/month.Social benefits will include participation in the CIGNA health insurance scheme and the OSCE Provident Fund. Appointments are normally made at step 1 of the applicable OSCE salary scale. At the discretion of the appointing authority a higher step may be approved up to a maximum of step 3 subject to specific conditions.
