Background    
     
   

Records Management is part of the Fund Administration Unit portfolio responsible for developing, implementing and overseeing the records management framework within OSCE Mission to Skopje. It ensures the capture, distribution, storage and management of authentic and reliable records in accordance with accepted standards and best practices. Its scope of works includes registration and distribution of official correspondence, providing guidance on handling paper and electronic records, facilitating transfers of semi-active and inactive records, overseeing authorized destruction of records, all with a goal for long term preservation of institutional memory.

With the aim to strengthen the Records Management capacity, the Unit would like to engage 2 (two) National Interns. The selected Interns will have the opportunity to gain valuable practical archiving experience and get acquainted with the Mission’s activities and its historical records.

     
Tasks and Responsibilities    
     
   

Under the supervision of the Records Management Assistant, the incumbents shall:

- Perform inventory of paper records placed in the Archive off site storage and enter data into database;

- Perform weeding, scanning, quality control and assign metadata of the paper records;

- Repack  paper records into designated archive boxes and its labeling;

- Reorganize paper records on shelves per category;

- Perform other records-related tasks as required.

     
Necessary Qualifications    
     
   
  • Citizenship of the former Yugoslav Republic of Macedonia
  • Applicants should be under 30 years of age, with completed at least two years of full time post-secondary higher education, preferably in a field related to History and Archiving, from an accredited institution, or have completed a first or advanced degree no longer than two years before the application deadline
  • Applicants should present some interest in documentation and record keeping, archiving and/or library maintenance
  • Good organizational skills with ability to process and synthesize information quickly and efficiently (ability to extract key elements from written information), with attention to details
  • Ability to act with discretion with regard to information security and protection of confidential information
  • Excellent written and oral communication skills in English and local languages
  • Computer literate with advanced experience in Microsoft computer packages
  • Good health and physical condition in order to lift boxes of records weighing 15 kg.

Remuneration Package    
     
   

Please note that the OSCE is not in a position to pay remuneration or cover travel expenses to Interns.

The selected Interns may participate in the group health insurance scheme at his/her own expense, but the OSCE will cover life and accident/disability insurance. If the Interns arrange their own medical coverage, they shall provide evidence of medical coverage for the duty station and for any eventual duty trip destinations.

The internship will be on a full-time basis, for a maximum period of 2 (two) months.

The internship does not, in any way, constitute a committment to future employment with the OSCE.
