Minimum 2 years of relevant professional experience including minimum 1 year in a relevant field strongly preferred

Please note that the assignment is subject to approval of 2019 UB Post Table.

 

Additionally, this particular post has specific requirements:

 

Mandatory:

  • First-level university degree relevant to the post, such as Political Science, International Relations, Management, etc;
  • A minimum of two years of work experience directly related to the post;
  • Excellent organizational skills;
  • Working experience in coordination and liaison functions;
  • Experience in analysis and reporting and in drafting and editing minutes, talking points and policy briefs;
  • Aability to operate windows applications, including word processing, data-base programmes, Excel and other Windows based programmes;
  • Professional fluency in the written and spoken English language;
  • Demonstrated ability and willingness to work as a member of a team and engage with people of different cultures and religious backgrounds, different hierarchical levels as well as different gender and diverse political views while maintaining impartiality and objectivity;
  • Flexibility and ability to work under pressure and with limited time frames;
  • Excellent diplomatic and communication skills and tact.

 

Desirable:

  • Demonstrable project management experiences and courses/certification;
  • Knowledge of the OSCE administrative regulations, rules, policies and practices;
  • Working experience in planning and implementation of activities and events;
  • Experience in the Western Balkans region;
  • Knowledge of the local languages.
     
Necessary Qualifications    
     
   

Under the direct supervision of the Head of Office of Central Co-ordination and the Deputy Head of Mission, the incumbent will be resopnsible for:

 

  1. Co-ordinating and liaising with the Mission's Departments and Sections and Regional Centres in order to ensure effective coordination, communication and collaboration across the mission;
  2. Providing timely, coherent and co-ordinated information and advice to the programmatic departments and Regional Centres on the Mission on behalf of the Deputy Head of Mission and the Head of the Office of Central Co-ordination;
  3. Taking minutes and notes and ensuring tasking out of Action Points;
  4. Monitoring follow-up actions resulting from the meetings (internal and external) and from the decisions of the Deputy Head of Mission;
  5. Assisting in reviewing and clearing of the Mission's reports and other relevant Mission's external documents;
  6. In co-operation with the Office of Political Affairs and Communications and programmatic departments, ensuring timely preparation of briefing notes and other necessary materials for meetings, conferences, seminars attended by the Deputy Head of Mission;
  7. Reviewing the schedule of the Deputy Head of Mission and overseeing his calendar ensuring close coordination and synchronisation with the calendar of the Head of Mission;
  8. Liaising and coordinating closely with the Special Assistant to the Head of Mission;
  9. Ensuring substantive preparation, review and drafting of various correspondences, identifying the responsible departments for preparation of replies and feedback to be signed/cleared by the Deputy Head of Mission;
  10. Ensuring quality control of the Mission external documents, including consistency with the Mission policies on clearance procedures;
  11. Liaising with international and local stakeholders;
  12. Accompaning the Deputy Head of Mission to internal and external meetings;
  13. Performing other duties as required.
