Initial duration of assignment for this post is for a period of 12 months, with a possibility of extension, subject to a subsequent OSCE Permanent Council Decision to extend the mandate of the Mission.

Tasks and Responsibilities |
|
|
|
|
|
|
|
The incumbent is an Administrative Assistant in the Human Dimension Unit (HDU) of the SMM Head Office. Under the direct supervision of the Human Dimension Officer and overall guidance of the Head and Deputy Head of the Human Dimension Unit, the incumbent is responsible for providing administrative and clerical support to the Unit.
More specifically:
- Scheduling and organization of meetings and appointments (both internal and external);
- Receiving visitors and phone calls;
- Handling logistical aspects and travel arrangements;
- Ordering and maintaining office supplies and materials;
- Translation of texts and documents of various kinds for the Unit;
- Preparation, formatting and further processing of draft reply-letters on behalf of the Head of HDU;
- Handling documentation including maintenance of records, files, forms, payments and incoming-outgoing correspondence; maintaining of electronic and hard copy document filing system; maintaining procurement request forms for expenditures and other forms and paperwork as required;
- Raising purchase requests in IRMA as requested;
- Accompanying Unit's members during working meetings, round tables, etc. providing interpretation, keeping minutes and further reporting;
- Other tasks as requested (organization of Video Tele Conferences, participation in interview panels, occasional help to HDU members on daily tasks, etc.)

Necessary Qualifications |
|
|
|
|
|
|
|
- Ukrainian citizenship or holding permanent resident status in Ukraine;
- Completed secondary education supplemented by additional courses in office administration;
- Minimum of 3 years of experience in administrative work;
- Computer literate with practical experience with Microsoft applications;
- Professional fluency in English, Ukrainian and Russian languages, both, written and oral;
- Demonstrated ability and willingness to work as a member of a team, with people of different cultural and religious backgrounds, different gender, and diverse political views, while maintaining impartiality and objectivity;
- Demonstrated commitment to gender equality objectives as well as the ability to integrate a gender perspective into tasks and activities;
- Cultural sensitivity and judgment.

Remuneration Package |
|
|
|
|
|
|
|
Monthly remuneration, subject to social security deductions is 837.00 Euro/month. Social benefits will include participation in the Cigna health insurance scheme and the OSCE Provident Fund. Appointments are normally made at step 1 of the applicable OSCE salary scale. |
