The OSCE Special Monitoring Mission to Ukraine is looking for highly qualified, motivated and experienced Ukrainian professionals for the position of Administrative Assistant with its Head Office in Kyiv. The OSCE is committed to achieving a better balance of women and men within the Organization.
NOTE: This is a short-term assignment. Expected duration of appointment/assignment for this post is for the period of about 6 months. Confirmation of post grade is pending completion of classification review.
The incumbent is an Administrative Assistant in the Human Dimension Unit (HDU) of the SMM Head Office. The incumbent is responsible for providing administrative and clerical support to the Unit, such as:
Scheduling and organization of meetings and appointments (both internal and external);
Receiving visitors and phone calls;
Handling logistical aspects and travel arrangements;
Ordering and maintaining office supplies and materials;
Translation of texts and documents of various kinds for the Unit;
Preparation, formatting and further processing of draft reply-letters on behalf of the Head of HDU;
Handling documentation including maintenance of records, files, forms, payments and incoming-outgoing correspondence; maintaining of electronic and hard copy document filing system; maintaining procurement request forms for expenditures and other forms and paperwork as required;
Raising purchase requests in IRMA as requested;
Accompanying Unit`s members during working meetings, round tables, etc. providing interpretation, keeping minutes and further reporting;
Performing other tasks as requested (organization of VTCs, participation in Interview Panels, occasional help to HDU members on daily tasks, etc.).
Citizenship of Ukraine;
Completed secondary education supplemented by additional courses in office administration;
Minimum 3 years of experience in administrative work;
Professional fluency in the English, Ukrainian and Russian languages, both oral and written;
Computer literate with practical experience with Microsoft Office applications (Word, Outlook, PowerPoint, Excel);
High level of discretion and ability to work in a confidential environment;
Ability to cope with physical hardship and willingness to work extra hours and in an environment with limited infrastructure;
Demonstrated ability and willingness to work as a member of a team, with people of different cultural and religious backgrounds, different gender, and diverse political views, while maintaining impartiality and objectivity;
Demonstrated gender awareness and sensitivity, as well as the ability to integrate a gender perspective into tasks and activities.

Monthly remuneration, subject to social security deductions is 837.92 Euro/month. Social benefits will include participation in the Cigna health insurance scheme and social security / Provident Fund. Appointments are normally made at step 1 of the applicable OSCE salary scale.
