Background    
     
   

The incumbent is assigned to the Fund Administration Unit (FAU) and functions as Archive/Records Clerk to the Mission.  Please note that this is a maternity leave replacement until 31 December 2020.

     
Tasks and Responsibilities    
     
   

Under the direct supervision of the Senior HR Assistant the incumbent performs the following tasks:

  • Receives, screens and routes incoming correspondence to the relevant mission members; maintains a follow up system, when necessary;
  • Registers, codifies and archives documents and official correspondence on DocIn and/or existing filing system of the Mission;
  • Maintains the log of outgoing official correspondence produced by the Mission;
  • Maintains up-to-date telephone and address list of the Mission Members, distributes it regularly among Mission Members; and of Governmental officials, local media representatives, international organizations, diplomatic corps, etc. and distributes those regularly among Mission staff;
  • Maintains notice boards for public information in the OSCE Office;
  • Prepares and orders Business cards for Mission Member including new comers;
  • Prepares OSCE ID cards for new comers and guests, when needed;
  • Helps Senior HR Assistant with filing of leave records of all MMs;
  • Assists Senior HR Assistant in the maintenance of the SSA database by updating SSA roster with all national and international consultants and filing of SSAs, consultancy invoices and performance evaluation reports;
  • In absence of Senior Secretary, filters and receives visitors, places and screens phone calls and answers queries with discretion;
  • Serves as backup for receptionist during his/her leave;
  • Performs other duties as assigned.

Necessary Qualifications    
     
   
  • Secondary education level; some communication, public relation, filing and administrative skills;
  • Minimum two years of experience in an office, preferably with an international organization. Computer literate with practical experience in Microsoft package;
  • Good written and oral communication skills in English and Russian in addition to mother tongue;
  • Ability to work with people of different nationalities, religions, languages, and cultural backgrounds; Demonstrated gender awareness and sensitivity, and an ability to integrate a gender perspective into tasks and activities.

Remuneration Package    
     
    Monthly remuneration is EUR 446.16 OSCE salaries are exempt from taxation in Moldova. Social benefits will include participation in the Cigna medical insurance scheme and the OSCE Provident Fund.
